Job Purpose
This is a very broad Facilities Coordinator role which works closely with the Facilities Director, the Office Manager and Finance and Legal teams. The Operations Team at NaturalMotion lies at the heart of our busy London Studio. We ensure that our games development hub is running at its optimum, constantly improving and adapting the working environment of our employees and providing a strategy and roadmaps for events, ideas and improvements. To help us achieve this, we need an exceptional Facilities Coordinator with the ambition and energy to achieve our vision.
Reporting directly in to the Facilities Director, you will assist in supporting all aspects of Workplace Services across the EMEA studios.
You will be a dynamic, customer service-focused individual who works fast, pays attention to the details, and strives at all times to assist each studio and office to create and maintain the very best polished and well-kept environment possible to attract and retain the best talent and assist in producing and supporting the best games.
Key Roles & Responsibilities
- Mange facilities help desk data: record & report frequently on rolled up studio FM help ticket reports for all studios to the FM Director. Work closely with Office Managers/Support teams to obtain Help desk reports for regional/global dashboard overview.
- Being main point of escalation for support teams to ensure repairs or attention required outside realm of skills and responsibilities of local support teams is provided by regional or global WPS.
- Support Facilities Director to maintain lease admin database to ensure local Office Managers/Support teams are aware of critical lease milestones.
- Maintain regional, and at times global project pipeline overview. Working with local Office support teams to obtain local project data.
- Network and follow up with main stakeholders’/support teams to ensure complete customer satisfaction is being maintained across all studios in accordance to global WPS Strategy.
- Audit and support all elements of EHS ensuring all studios are in compliance with local laws. Roll up site data from Office Managers to global safety teams.
- Roll out workplace services play book to support teams to ensure that office appearance is upheld to the highest standards.
- Assists Facilities Director and Office Managers with coordination of requests for office remodels, reconfigurations, and moves across all studios.
- Provide all Office Managers and Support teams with best practice framework when shortlisting and down selecting vendors.
- Obtains life cycle data from all studio Office Managers to create and maintain asset logs to be held centrally.
- Supports Facilities Director with general admin tasks across UK, from report writing on regional projects to taking minutes.
- Report on all studio P&L spends to ensure variances are resolved, network with local support teams to obtain spend and work on balancing cash flows.
- Customer and client service focused with a key eye for stakeholder management within all studios.
- Review and centralise audits carried out by Office Managers/Support teams across all studios to ensure best practice is maintained/upheld in areas such as HSE, M&E, Security and general housekeeping etc. Roll up all site data into one dashboard for global overview.
- Establish and maintain studio wide KPIs and SLAs to ensure all studios are working to the same service levels standards as set out by global WPS.
- Work with Office Managers to obtain their KPI/SLA reports which are to be rolled up into a single dashboard.
- Host and take part in local and regional strike sessions to share lessons and best practice between Office Managers/Support teams in each studio to help create
- Monday – Friday onsite position
Required Experience & Skills
- Proven experience within a facilities management environment and multi-site management
- Demonstrate sound knowledge of facilities management services
- Supervisory or management of facilities service contracts
- Proven experience in moves, changes and refurbishment projects
- Familiar with Microsoft Office (Word, Excel, and Outlook). Knowledge of AutoCad would be beneficial
- Able to multitask and manage to deliver where there are multiple priorities and deadlines
- Flexible, adaptive and a positive attitude to change

- Proactive in ensuring progress and completion of tasks/issues and projects
- Robust and confident in often challenging relationships with third parties

- Strong commercial acumen
- Honest and transparent in all activities
- Strong communication skills, both written and verbal
- Health and safety qualification desirable, IOSH preferred
- Membership of BIFM desirable
